Configure the AssetPilot lifecycle

The lifecycle is the set of statuses an asset moves through and the transitions allowed between them. Open Configure → Lifecycle.

Six statuses, including a new Lost status, and the transition matrix.
An example lifecycle. Your statuses and transitions can differ.

Statuses

ColumnPurpose
NameWhat people see on lozenges and in filters
CategoryAvailable, In use, Pending, Maintenance or Retired. Categories drive dashboard counts and alerts.
ColourThe lozenge colour, with a live preview
DefaultThe status for new assets, and the suggested status on check-in
Require notePeople must write a note when moving an asset into this status, for example In repair

Select Add status to add one. Statuses that assets use can't be deleted.

How categories are used

  • Available and In use feed the dashboard tiles.
  • Retired assets are excluded from totals, purchase value and alerts.
  • An asset in an In use status with no assignee appears under In use but unassigned in Alerts.

Transitions

The matrix lists From statuses as rows and To statuses as columns. Tick a cell to allow that change.

  • Turn on Allow all transitions for a simple setup where any status can follow any other.
  • Unticked transitions appear disabled in Change status, with a tooltip such as Not allowed from In use.

Select Save to apply, or Discard changes.
